Positions - Executive Committee and
Volunteer
Below are the Executive Committee
and volunteer positions as outlines in our
bylaws. Please refer to the bylaws for information regarding
terms of office, eligibility, etc.
Executive Committee Positions
President:
-
Act as chief administrator of
the guild and act as an impartial representative of the body of
members.

Prepare the agendas for, and
preside over, the regular and Executive Committee meetings.
-
Ensure that the activities of
the guild are compatible with the mission statement, and therefore
acts as an ex officio member of all committees except the Elections
Committee.

Delegate responsibilities to
Officers and committee chairpersons, form ad hoc committees, and
call special meetings of the Executive Committee as needed.
-
Be knowledgeable about all
guild activities and represent the guild to the community.
-
Authorized to sign checks on
behalf of the organization in the absence of the Treasurer, and act
as mentor to the Vice President.
Vice President (Membership):
-
Chair the Membership Committee.
The duties of this committee include, but are not limited to:
-
Maintaining an accurate
record of current members and guests.
-
Processing new member
applications.
-
Sending annual renewal
notices.
-
Greeting and signing in
members and guests at regular meetings.
-
Responding promptly to
membership-related communications.
-
Call for volunteers to assist
as needed.
-
Work with the Treasurer to
ensure that dues collected are deposited to the guild bank account.
-
In the absence of the
President, prepare agendas, preside over meetings, and perform other
such duties of the President.
Secretary:
-
Record the minutes of all
regular membership meetings, Executive Committee meetings, and other
special meetings as needed.

Sign the minutes approved by
the Executive Committee.
-
Maintain an archive of the
minutes and other official guild documents.
-
Furnish copies of guild
documents as requested.
-
Handle the social
correspondence of the guild
-
Chair the Communications
Committee, and the Newsletter Editor, Web Mistress/Master, and
Librarian shall be members of this committee.
-
Call for other volunteers to
assist as needed.
Treasurer:
-
Manage guild finances.
-
Collect and deposit income.
-
Sign checks.
-
Pay approved club expenditures
-
Reconcile the bank accounts
monthly.
-
Submit signed monthly reports
to the Executive Committee.
-
Publish quarterly financial
status in the guild newsletter.
-
Prepare an annual budget for
the following year.
-
Maintain the financial records
of the guild.
-
Coordinate an outside audit of
the previous years’ bookkeeping.
-
May form and chair a Finance
Committee to assist with budgeting, auditing, or other accounting
issues. Any person or persons appointed by the Treasurer to assist
with these tasks must be approved majority vote of the Executive
Committee.
Education Director:

Plan the programs and/or
projects for the regular membership meetings.
-
Comply with copyright laws.
-
Prepare and distribute written
project instructions when applicable.
-
Coordinate special education
events.
-
May call for volunteers to form
an Education Committee to assist as needed.
Promotions Director:
-
Manage the supply of guild
literature, keeping information current.
-
Negotiate guild member
discounts with local bead shop owners
-
Find and/or create
opportunities to increase public awareness of the guild and the
educational opportunities it provides, including, but not limited
to:
-
May call for volunteers to form
a Promotions Committee to assist as needed.
Volunteer
Positions
Newsletter Editor
Website Maintenance
CABO Librarian
-
Maintain a spreadsheet, to be posted on
the website, of all materials in the library.

Accept and fill requests for checkouts.
Bring the requested item to the next meeting.
-
Make sure to collect the item at the
next monthly meeting. Remind members to bring the materials
back after one month.
-
Accept donations of beading books,
videos or magazines to the library.
-
Manage all book reviews (e.g. Interweave
Press books).
